German universities do not assess foreign qualifications themselves. For the majority of applicants, that job belongs to uni-assist — a centralised service that evaluates whether your home country diploma is equivalent to the German Abitur or a recognised Bachelor's degree. Without this clearance, most universities will not even review your application.

The document that comes out of this process is called the VPD: Vorprüfungsdokumentation, or Preliminary Review Documentation. Getting it right the first time is important because processing takes four to six weeks, and mistakes reset the clock.

What Uni-Assist Actually Does

Uni-assist evaluates foreign secondary and tertiary credentials against the German academic equivalency database (Anabin). It checks whether your qualification grants you access to a German university program, converts your foreign grades into the German grading scale using the modified Bavarian formula, and issues the VPD as a legally binding confirmation of this assessment.

The modified Bavarian formula matters because it directly affects your academic profile. For Indian students applying to competitive programs, a 70% aggregate at an Indian university translates to roughly a 2.3 on the German 1-to-5 scale. Some universities set grade cut-offs for admission, so knowing your converted grade before applying helps you assess your realistic prospects.

Approximately 170 German universities use uni-assist to process international applications. Some universities require applicants to apply through both uni-assist and the university's own portal. Others require only the VPD, which you download and upload yourself. Always check each target university's instructions.

Step-by-Step: How to Apply

Step 1: Create an account on My Assist

Go to my-assist.de and create an applicant account. This is the only official portal — there are third-party agents who offer to submit your application for a fee, but this adds cost without benefit. The process is manageable independently.

Step 2: Select the VPD evaluation

After creating your account, select "VPD" as the type of document you need. Some applicants confuse the VPD with a full application submitted through uni-assist to a specific university. These are different things. The VPD is a standalone credential evaluation document that you then take to any university requiring it.

Step 3: Upload your documents

You will need certified copies of your secondary school leaving certificate (translated into German or English by a sworn translator if your original is not in one of these languages), your Bachelor's degree certificate and transcripts, and your passport bio page.

The most common error at this stage: submitting uncertified photocopies instead of notarised copies. Uni-assist's instructions specify certified copies; plain photocopies result in a request for resubmission and delay your timeline by weeks.

Step 4: Pay the fee

The standard VPD fee is €75 for the initial evaluation. This is a non-refundable processing fee, not a guarantee of a positive outcome. If you subsequently apply through uni-assist to multiple universities (rather than just obtaining the standalone VPD), each university application carries an additional fee of €75 for the first and €30 for each subsequent institution.

Payment is accepted by credit card or bank transfer through the portal.

Step 5: Track your application

After submission, the standard processing time is four to six weeks from the date uni-assist confirms receipt of all documents. Incomplete submissions freeze in the system until the missing documents are provided — the clock does not start until the file is complete.

Processing Time: What to Expect Realistically

Four to six weeks is the stated standard, but this assumes your documentation is complete and correct on first submission. In practice, many applications are flagged for additional information, particularly if your university or credential is not in the Anabin database (common for applicants from some African and South Asian institutions), or if your translated documents are not certified by an officially recognised sworn translator.

For Indian applicants: academic credentials from Indian universities are generally well-represented in the Anabin database, and Indian Bachelor's degrees from recognised universities are typically assessed without difficulty. However, applicants from universities classified as H+ (recognised) rather than H++ (highest recognition) may receive a lower converted grade, which affects competitive admissions.

For applicants from China and Vietnam: the APS certificate from the Academic Evaluation Centre is a separate prerequisite for a student visa, distinct from the uni-assist VPD. Both are required for different purposes. The APS verifies document authenticity; the VPD assesses academic equivalence.

Plan to start the VPD application at least three months before your target university's admission deadline. This gives you a buffer for document corrections, resubmission, and the processing period itself.

The VPD Validity Window

The VPD is valid for one calendar year from the date of issue. If you receive your VPD in November 2026 and plan to apply for a winter semester starting in October 2027, your VPD may have expired by then. Many students do not realise this and have to pay the €75 fee and go through the process again.

If you know your application timeline, try to initiate the VPD process at a point where the resulting document will still be valid at the time of your university application deadlines. For winter semester admission (October start), universities typically set application deadlines in May to July. Starting the VPD in February or March aligns well.

What Uni-Assist Does Not Do

Uni-assist does not forward your VPD to universities. Once the document is issued, you download it from the portal and attach it yourself to each university's application. Students who assume uni-assist sends the VPD automatically to their shortlisted institutions often miss deadlines because their university application is stuck waiting for a document the applicant needed to upload themselves.

Uni-assist also does not process applications for a small number of universities that handle international admissions entirely in-house (such as some courses at LMU Munich or Heidelberg). Always verify whether your target university requires uni-assist or direct application before paying.

German University Application Deadlines

For winter semester programs (starting in October): most universities set international application deadlines in May to July. Competitive programs at highly-ranked institutions often close earlier, in March or April.

For summer semester programs (starting in April): deadlines typically fall in November to January of the preceding year.

These are general windows — every university sets its own specific deadlines, and programs with restricted admission (Numerus Clausus) often close well before the general deadline. Checking the target institution's admissions page directly is essential.
