Australia Visa Document Checklist for Indonesian Applicants: Processing Times and What to Prepare
Most document checklists for Australian skilled visas are written for a generic international applicant. They tell you to "provide a police clearance" without explaining that for Indonesians, this means a Mabes Polri SKCK obtained via the Presisi Super App, valid for exactly 6 months from issue. They tell you to "submit certified translations" without specifying that Australia requires NAATI-certified translators specifically.
This checklist is built for Indonesian applicants.
Processing Times: What to Expect in 2025
Before gathering documents, understand that the Australian skilled visa process has two distinct processing time components:
Skills assessment processing: 2 to 5 months depending on authority.
- ACS: 2–3 months
- VETASSESS: 3–4 months
- Engineers Australia (CDR): 4–6 months
- ANMAC (Nurse): 3–5 months
Visa application processing (after ITA lodgement): 8 to 15 months for most cases.
- Subclass 189: median processing 8–12 months
- Subclass 190: median processing 8–14 months
- Subclass 491: median processing 8–15 months
These are median ranges. Applications with missing or unclear documents, TB screening complications, or RFIs (Requests for Information) from DHA take longer. Indonesian applications involving TB chest X-ray follow-up screening add 3 to 6 months.
SkillSelect waiting time (from EOI to invitation) is variable — 1 month to 3+ years depending on points score, occupation, and competition. This is separate from visa processing and is not driven by your documents.
Total realistic timeline from starting to finish: 2.5 to 4 years for most Indonesian applicants on the 190 pathway. 1.5 to 3 years for 491 applicants in well-chosen regional areas. 3 to 6+ years for 189 applicants who need to wait for score-competitive invitation rounds.
Core Documents (All Applicants)
Identity documents:
- Current passport (all pages, front and back cover)
- Any expired passports from the past 10 years
- Birth certificate (Akta Kelahiran) — NAATI-certified translation required
- National ID (KTP) — NAATI-certified translation required
- Marriage certificate (Buku Nikah / Akta Perkawinan) if applicable — NAATI-certified translation required
Academic qualifications:
- Full academic transcript showing all subjects, SKS credits, and grades (not just the degree certificate)
- Degree certificate (Ijazah) — NAATI-certified translation required
- Diploma Supplement or SKPI (Surat Keterangan Pendamping Ijazah) if available
- PDDIKTI printout confirming BAN-PT accreditation of your program at time of graduation
English proficiency:
- Original IELTS, PTE Academic, or OET test report
- Valid for 3 years from test date for most purposes; confirm the specific validity requirement with your assessing authority
Skills assessment:
- Positive skills assessment letter from ACS / VETASSESS / Engineers Australia / ANMAC
- Assessment reference number (required in ImmiAccount)
Employment evidence:
- Employment reference letters for all claimed work experience — on company letterhead, signed by supervisor, specifying duties in detail (see Indonesia-specific format notes below)
- BPJS Ketenagakerjaan digital statements for each employment period
- SPT income tax records (Form 1721-A1) for each employer
- Payslips for recent positions (digital payslips must include employer logo, address, and job title)
- Work contracts (Perjanjian Kerja) if available
Indonesian-Specific Documents
These documents are required for Indonesian applicants specifically and are not covered in generic checklists:
SKCK (Surat Keterangan Catatan Kepolisian):
- Must be from Mabes Polri (National Police Headquarters) level — not Polsek or Polres
- Apply via the Presisi — POLRI Super App
- Photo requirements: 4x6 cm, red background (different from Australian visa photo standards)
- Official fee: IDR 30,000–50,000
- Valid 6 months from issue
- Obtain only after receiving your ITA — do not obtain early and risk expiry
- NAATI-certified translation required
Kemenkumham Apostille (if requested):
- For SKCK, birth certificate, or degree certificate when state nomination authority or DHA requests authenticated documents
- Apply via AHU Online portal (apostille.ahu.go.id)
- Fee: IDR 150,000 per document
- Physical collection at Kemenkumham Kantor Wilayah required
If you have lived abroad:
- Police clearances from each country where you resided for 12+ months in the past 10 years
- Singapore ICA clearance, Malaysian PDRM clearance, Japanese Ministry of Justice clearance, etc.
- Start these immediately on receiving ITA — overseas clearances take 4 to 12 weeks

NAATI-Certified Translations: What This Means
The DHA and Australian assessing authorities require that Bahasa Indonesia documents be translated into English by a NAATI-certified translator. NAATI (National Accreditation Authority for Translators and Interpreters) is Australia's accreditation body.
"Certified translator" in a generic sense is not sufficient — specifically NAATI certification is required for Australian immigration purposes.
How to find a NAATI translator:
- NAATI's online register at naati.com.au lists certified translators, searchable by language and location
- Indonesian-to-English NAATI translators are available both in Australia and Indonesia
- Many Indonesian community professional services providers in Sydney and Perth offer NAATI translation
What a NAATI translation includes:
- A statement that the translation is accurate and complete
- The translator's NAATI certification number
- The NAATI stamp or certification mark
- Contact details for the translator
Cost: AUD 90 to AUD 130 per page, typically. A full academic transcript, birth certificate, and marriage certificate (if applicable) may run to 20+ pages combined. Budget AUD 1,500 to AUD 2,500 for a complete translation package.
Translation timing: Start gathering and translating documents well before you expect an invitation. NAATI translators have turnaround times of 1 to 2 weeks per document batch. Do not leave translation until after you receive your ITA — the 60-day lodgement window after an ITA is tight.
Employment Reference Letter Format for Indonesian Employers
This is the most commonly incomplete document in Indonesian skilled visa applications. Australian assessing authorities require employment evidence that Indonesian HR departments are not accustomed to producing.
What a compliant letter needs to include:
- Company letterhead with address and contact details
- Date of letter
- Your full name and job title (exactly matching your ANZSCO nominated occupation)
- Employment start and end dates (or "to present")
- Whether employment was full-time or part-time (hours per week)
- Specific duties performed — not a generic job description but actual tasks you carried out, with enough detail for the assessing officer to evaluate against the ANZSCO description
- Technologies, systems, clients, or projects where relevant
- Name, title, signature, and contact details of the signatory
What Indonesian employers commonly provide instead: a one-paragraph Surat Keterangan Kerja confirming that you were employed with a start date and job title. This is insufficient and will result in an RFI or negative outcome.
Brief your HR department or direct manager in advance, explaining the Australian immigration requirement. For freelancers or self-employed individuals, client letters confirming the nature of work and payment are required, supplemented by bank statements showing regular income.
Medical Examination Documents
- Book through a BUPA-authorized panel physician in Indonesia (Jakarta, Surabaya, Bali)
- Receive a HAP ID from ImmiAccount before the appointment
- Results are uploaded directly to DHA via eMedical — you do not receive physical results
- Retain the appointment summary as proof for your records

- Personal documents (identity, marriage, children)
- Skills assessment
- English test
- Employment history (one upload per employer period)
- Additional country information (overseas clearances if applicable)

Organise files before lodging: use clear filenames (e.g., "SKCK-Mabes-Polri-NAATI-translation.pdf," "Transcript-NAATI-translation.pdf") and combine related documents into single PDFs where permitted. DHA officers work through hundreds of applications — clear, labelled documents reduce processing time.
