ITA to PR Timeline: What to Expect After Your Express Entry Invitation

You have received your Invitation to Apply. The worst of the waiting is supposedly over — but for South African applicants, the 60 days after the ITA is when the real pressure starts.

The ITA is not the finish line. It is the starting gun for a document sprint that has tripped up thousands of applicants who thought they were prepared but were not. Here is an honest breakdown of what the ITA-to-PR timeline looks like from South Africa, including where things typically go wrong.

The 60-Day Clock: What It Means and Why It Is Unforgiving

From the moment your ITA is issued, you have exactly 60 days to submit a complete PR application through your IRCC account. "Complete" means every document, every form, every fee — no placeholders, no "to follow" notes.

IRCC will not extend this deadline except in extraordinary circumstances. A submitted application with missing documents is better than a complete application submitted on day 61. If you miss the window, your ITA is cancelled and you return to the Express Entry pool with your original CRS score to wait for the next draw.

This is why the most important preparation for an ITA happens months before you receive one — not after.

Week 1: Submit Fees and Lock in Your Medical Exam

The processing fee for a Federal Skilled Worker application is approximately CAD $1,365 per adult plus CAD $230 per dependent child. Pay this immediately after receiving your ITA.

At the same time, book your immigration medical examination. In South Africa, IRCC-designated panel physicians operate in:

• Johannesburg: Multiple approved clinics in the northern suburbs
• Pretoria: Pretoria East area clinics
• Cape Town: Atlantic Seaboard and southern suburbs clinics
• Durban: Berea and Umhlanga area

The exam costs between CAD $200 and $300 per person (paid in ZAR at the day's exchange rate). It includes a chest X-ray, blood tests for HIV and syphilis, and a general physical examination. Results are submitted electronically via the eMedical system and go directly to IRCC — you receive a copy for your records but do not submit it yourself.

Do not delay booking this. Panel physicians at major centres in Johannesburg can be booked out 2–3 weeks in advance, and with biometric appointments also needing to be scheduled, time disappears fast.

Weeks 2–3: Biometrics at VFS Global

After submitting your online application and paying fees, IRCC issues a Biometric Instruction Letter (BIL). You must then book a biometric appointment at a VFS Global Visa Application Centre. In South Africa, VFS operates centres in:

• Johannesburg (Sandton and Rosebank)
• Cape Town (Waterfront area)

The appointment is for fingerprints and a digital photograph. VFS processing times in South Africa are generally manageable at 3–7 business days for an appointment, but book as soon as your BIL arrives — the peak periods after large draws can see delays.

Weeks 2–6: Gathering Your Documents

While medical and biometrics are being processed, you are simultaneously assembling the paper file. This is where South African applicants face the most risk.

The documents required include:

Identity and civil documents:

• Passport (valid for at least 6 months beyond your intended travel date)
• National Identity Document
• Unabridged birth certificate
• Unabridged marriage certificate (if applicable)
• Children's unabridged birth certificates (if applicable)

Professional documents:

• Educational Credential Assessment (ECA) result — must be current
• IELTS results — must be within 2 years of your profile creation date
• Reference letters for all qualifying work experience

Security documents:

• SAPS Police Clearance Certificate — must be less than 6 months old at time of application
• Police clearances from every country where you have lived for 6+ months since age 18

Financial documents:

• Bank statements showing settlement funds (typically the last 6 months)
• For amounts over R2 million: SARS compliance documentation

The single biggest risk for South Africans at this stage is the SAPS Police Clearance Certificate. Standard processing through a police station takes 6–12 weeks — longer than your entire 60-day window if you have not applied in advance. If your PCC is older than 6 months, it is not valid. This means timing your pre-ITA SAPS application is an exercise in precision: apply too early and it expires; wait for the ITA and you cannot meet the deadline.

Most experienced South African applicants apply for the PCC approximately 5–6 weeks before they expect to receive an ITA, using an expedited agency that can retrieve the certificate within 7–15 days. This way the certificate arrives fresh and has enough shelf life to cover the 60-day submission window and the subsequent adjudication period.

Day 60: Submission

Every document must be uploaded as a clear, legible scan. IRCC accepts PDF and JPG formats. For certified copies, the certification must be visible in the scan. Translations must be accompanied by the original document and a translator's declaration.

Submit the application before 23:59 EST on the 60th day. The IRCC system runs on Eastern Standard Time — not South African time. Know the time difference on your deadline day.

Months 2–8: Adjudication

Once the application is submitted and biometrics are received, IRCC adjudicates the file. The standard Express Entry processing time target is 6 months (from ITA to final decision), though in practice many South African FSW applications are resolved in 4–7 months.

During adjudication, you may receive:

• Additional Document Requests (ADRs) — typically for clarification on work experience, education, or civil documents. Respond within the timeframe given (usually 30–90 days).
• Procedural Fairness Letters (PFLs) — more serious requests that indicate a potential issue with your application. These require careful, detailed responses. Consider consulting an RCIC if you receive a PFL.
• Nothing at all — this is the most common experience. IRCC processes the file and the next contact is the Passport Request.

Passport Request and Landing

When IRCC approves your application, they issue a Passport Request (PPR). You submit your passport to the VFS Global centre, which forwards it to the Canadian High Commission in Pretoria. The Commission inserts the visa counterfoil.

Upon return of your passport, you will also receive your Confirmation of Permanent Residence (COPR). You must "land" in Canada — meaning physically enter with your COPR — before the expiry date stamped on the document. Most COPRs are valid for approximately one year from the date of your medical exam.

Every step after the ITA is manageable if you prepared before it arrived.
